Softworks HR System: The Features Most Organisations Are Ignoring

Softworks Not Delivering? Get Softworks HR System Support | A1HR

Softworks HR system support: Softworks is one of the most popular HR and workforce management systems among Irish and UK SMEs, care providers, and multi-site organisations. When it’s set up well, it genuinely reduces admin and improves visibility.

The problem is that most Softworks users are only using a fraction of what they’re paying for and many have found themselves searching for Softworks help or support because the system simply isn’t behaving the way they expected.

If your Softworks system isn’t working as it should, or you’re struggling to get value from it, this guide is for you.

What Softworks Can Actually Do

  • Time and attendance – clocking, shift management, real-time visibility
  • Absence management – all leave types, entitlements, approval workflows
  • HR records – employee profiles, contracts, documents, qualifications
  • Workforce scheduling – rota planning, shift allocation, gap management
  • Payroll integration – hours and absence data fed directly to payroll
  • Manager self-service – team visibility and approvals without HR involvement
  • Employee self-service – leave requests, payslips, personal details
  • Reporting – absence rates, headcount, overtime, compliance dashboards

Most organisations using Softworks are actively using two or three of these areas. The rest is sitting there, paid for and unused.

Why Softworks Implementations Often Fall Short

Out-of-the-box configuration

Softworks comes with a default configuration that many implementations treat as the finished product. It isn’t. Leave policies, approval structures, pay rules, and reporting need to be configured to match your organisation. Without this, the system is generic and generic doesn’t serve complex organisations well.

Rostering and scheduling underused

Softworks has strong workforce scheduling capability, consistently the most underused feature. Most organisations are still doing rosters in Excel while Softworks sits idle. Getting this working properly can save significant management time every week.

Manager self-service not switched on

One of the biggest time savings in Softworks is manager self-service. This is often not activated, or activated but never adopted, because managers weren’t trained properly. If your managers are still contacting HR for information they should be able to access themselves, this is almost certainly fixable.

Integration gaps with payroll

The value of a time and attendance system multiplies when it connects properly to payroll. Errors in the integration mean payroll teams end up manually reconciling data, which defeats the purpose of having the system at all.
